As a Service Administrator, you will play a crucial role in ensuring we continue to meet this promise through exceptional service and support.
Essential Job Functions
- Serves as the main point of contact between customers and the dealership.
- Promote customer satisfaction by assisting in increasing labor and parts sales.
- Write up service requests, monitor progress, review jobs, and assist with job completion.
- Greet walk-in customers and answer customer calls.
- Accurately determine if a machine is under warranty and inform the customer before any service is performed.
- Collaborate daily with the Service Manager to review the work schedule, update work-in-progress priorities, manage parts deliveries, and ensure completion deadlines are met.
- Ensure repairs are completed within the estimated labor hours quoted to the customer.
- Follow up with the Service Manager to confirm that written authorization is obtained for jobs where no authorization was given before dispatching a mechanic.
- Process technicians' timecards and maintain accurate service records.
Non-Essential Job Functions
- Ensure that service personnel follow safety, housekeeping, and company policies with the assistance of the Service Manager.
- Verify that the final invoice matches the original service proposal and meets customer expectations.
- Assist the Service Manager with administrative tasks in the Service Department.
- Keep the Service Manager informed on all critical matters related to the department.
- Perform other related duties as needed.

- Detail-oriented and able to solve problems independently with minimal supervision.
- Proficiency in Microsoft Excel and Word.
- Strong mathematical skills.
Physical Demands and Working Conditions
- Ability to sit for extended periods.
- Reach to answer phones.
- Read and review paperwork and computer files.
- Communicate by phone and in person.
- Bend to file paperwork or perform various tasks.
- Walk and move about frequently, sometimes on uneven terrain.
- Hear well enough to receive communication via phone, radio, and in person.
- Bend or squat as needed for the job.
- Stand for long periods when required to perform certain tasks.
Education and Experience
- High School Diploma or equivalent required.
- Relevant experience may substitute for formal education.
